The instructions
Every Friday at 5pm, produce a weekly rollup of my key Airtable base and email it to the team.
1. With the **Airtable** connection, read the base. First pull the base schema so you know the table,
the status field, and the date fields. Then list the records I care about — default to the main
table (e.g. "Deals", "Projects", or "Tasks"). Use a created/modified date field to find what
changed in the **last 7 days**.
2. Compute the rollup:
- New records added this week (count + the notable ones by name).
- Status changes — anything that moved stage this week (e.g. → "Won", → "Blocked", → "Done"),
listed as name: old stage → new stage where you can tell.
- Totals worth knowing — counts by status, and sum any obvious value field (amount, hours, $).
- One "needs attention" line: anything stuck, overdue, or stalled (no movement + past its date).
3. With the **Gmail** connection, send one email to <team@yourcompany.com> (cc me) with the subject
"Weekly Airtable rollup — <this Friday's date>" and the rollup as the body.
Keep the body skimmable: short labeled sections, numbers up front, no more than ~10 lines. Lead with
new + status changes (the stuff people act on), totals after. If nothing changed this week, send a
one-line "Quiet week — no new records or status changes" rather than a wall of zeros. Don't invent
fields the base doesn't have — work from the schema you read. What a run emails you
Weekly Airtable rollup — Fri 26 Jun 2026 New this week (4): Northwind renewal, Acme expansion, 2 inbound trials Status changes (3): • Globex — Proposal → Won ($18k) • Initech — Negotiation → Blocked (legal review) • Hooli pilot — Trial → Closed-lost Totals: 31 open deals · pipeline $214k · Won this week $18k Needs attention: Stark Industries — in "Negotiation" 23 days, no update since 3 Jun.
How it works
- Attach your Airtable and Gmail connections — the routine reads the base through Airtable (schema first, then the records that changed this week) and delivers the summary through Gmail.
- It diffs the last 7 days: new records, status moves, and the totals worth knowing — then writes a skimmable rollup, newest and most actionable first.
- Gmail sends the finished summary straight to your team on Friday at 5pm, so the week closes with everyone on the same page (keep "Email me the result" on for your own copy too).
Make it yours
- Point it at your real base and table — pipeline, project tracker, content calendar, bug board — and name the status and date fields it should diff.
- Change the recipients: send to the whole team, a Slack-to-email address, or just yourself.
- Shift the cadence — Monday 9am for a week-ahead view, or end of every day for a fast-moving board.
